The Challenge
The organization managed a large volume of program and training data — training records, participant details, advocacy activities, and knowledge products (manuals, slides, reports) — with no central system in place. Data was scattered across Excel files, paper records, and personal devices, leading to manual, error-prone workflows, delayed reporting, and no reliable way to monitor progress or track indicators across programs.
The Solution
Evaluated two paths to address this: adopting an off-the-shelf MIS (e.g., CommCare, DHIS2) for fast deployment with built-in mobile forms and dashboards, versus building a customized MIS tailored to the organization's exact workflow. Given the need for full ownership, no vendor lock-in, and a system that could unify training tracking, advocacy activity logging, a knowledge product repository, and reporting dashboards in one place, a customized solution was pursued — built with Next.js, React, TypeScript, and Tailwind CSS. The system centralizes advocacy operations, travel requests, and calendar/event tracking, with a consistent design system and an SVG-based timeline to visualize activities over time.
The Outcome
Replaced fragmented, paper- and spreadsheet-based tracking with a single centralized platform — giving the organization full ownership of a system built specifically around their workflow, reducing manual data entry and reporting delays, and laying the foundation for automated indicator tracking and data analysis going forward.
